Terms and Conditions

These conditions within the Terms of Service along with the; Dog Information Form and Medical Information Form constitute the entire agreement between you the client and The Happy Hot Dog Hotel (Suzanne & Ray Lythgow) and supersede any previous agreement between them.

• I authorise The Happy Hot Dog Hotel (Suzanne & Ray Lythgow) to carry out pet services as outlined in forms that I have completed and submitted.
• I agree that all of the completed documentation provided in association with this Service Agreement are true and to the best of my knowledge and maybe used by the pet service provider when needed.
• The Happy Hot Dog Hotel reserves the right to terminate the contract at any time, at its sole discretion, likewise, the client may terminate this contract at any time. Notice must be given in writing by either party wishing to terminate the contract.
• The Happy Hot Dog Hotel agrees to provide the services stated in this agreement and supporting document in a reliable, caring and trustworthy manner.
• In consideration of these services and as an express condition thereof, the client expressly waivers and relinquishes any or all claims against The Happy Hot Dog Hotel (Suzanne & Ray Lythgow).
• Customers / owners of dogs boarding at The Happy Hot Dog Hotel will be responsible for all medical expenses and damages resulting from an injury to the licensed dog boarder or other persons/or dogs; either resident or boarding by the pet.
• By signing this document you are taking full responsibility for damage caused by your pet; to person/s, animals and property, both inside and outside of the licensed establishment.
• I authorise The Happy Hot Dog Hotel to obtain any emergency veterinary care that may be necessary during my dogs stay, I accept responsibility for any charges related to this emergency care.
• I authorise The Happy Hot Dog Hotel to utilise an alternative veterinarian in the event that my primary veterinarian is not available. Every effort will be made to contact the owner prior to emergency care.
• I have completed and signed the Notification of Consent Form and Veterinary Release Form enabling access to veterinary treatment.
• I agree to reimburse The Happy Hot Dog Hotel (licensed home boarder) for additional fees for providing emergency care, as well as any expenses incurred for extra visits, transportation, housing, food or supplies.
• I confirm that all vaccinations, records, and any other lawful requirement for this service are current.
• If I decide not to have my dog vaccinated against Kennel Cough, I take full and final responsibility for any costs incurred whilst my dog is in boarding.
• I authorise this contract to be valid approval for future services as to permit The Happy Hot Dog Hotel to accept my telephone/ email reservations without the additional signed contracts or written authorisations

TERMS OF SERVICE

While your dog(s) boards with us, you agree to the following terms of service:

Check-in and Check-out times are to be booked by appointment. Check-out is between: 8am - 10am following an overnight stay and between 4pm - 6pm for day care.  Where services are required outside of these times, upfront agreement must be made with us and an additional fee may apply.

All dogs must be up to date with their annual vaccinations, flea, tick and worm treatments. An up to date copy of their vaccine record must be provided for our records.

The Kennel Cough vaccine is advised but is not compulsory to board with us. Your dog(s) is unable to board with us for 2/3 weeks after this live vaccine.

Your dog(s) will be boarded with the resident dogs and other non-resident boarders during their stay.

All dogs will be socialised together during the day, as we see fit. This will include sharing the communal areas of the home with the resident dogs and dogs from other households.

Your dog(s) will not be left unattended for more than 3 hours in a 24 hour period. During this time, dogs will be separated per family, per secure room.

All dogs sleep per family, per secure room in beds/crates during the night. Night time routines will be consistent with routine in place in the guest dog(s) family home.

Your dog(s) will not be walked off lead whilst in the care of The Happy Hot Dog Hotel. The only exception will be if your dog(s) is being exercised in a secure field or on the premises.

You agree to inform us if your dog(s) is a flight risk or has aggressive or dangerous behaviour traits.

You agree to replace any damaged items your dog(s) has caused during their stay.

All photographs taken of your dog(s) while in our care, remain our property and can be used on any public media platforms.

We do not board full intact (unneutered) males. In the event of scent marking we will use a belly band.

We do not board intact (unspayed) females in season or coming into season.

You agree to your dog(s) being transported with dogs from other households, to access walks away from The Happy Hot Dog Hotel (all dogs will be harnessed for transportation purposes).

We will inform you via message, telephone or in person of any incident we feel you should be made aware of.

Smoking is not permitted within our premises or grounds.

If your dog(s) is not collected within 7 days of the stated departure date with no communication received from you or the stated emergency contact, your dog(s) will be considered abandoned and the RSPCA/The Red Foundation will be informed to attempt a re-home.

MEDICAL EMERGENCIES

You give consent for us The Happy Hot Dog Hotel to seek medical assistance and advice where we see fit, and agree to cover any cost associated with this.

You agree for The Happy Hot Dog Hotel to administer any prescribed medicine as completed within the ‘Medical Form’ or prescribed during your dog’s stay.

PAYMENT

All trial visits; day care or sleepovers must be paid in full at the time of booking.

A non-refundable 50% deposit is required at the time of booking for longer stays.
Full balance of invoice is payable 7 days before date of arrival.
Payment is to be made by BACS or in cash.

CANCELLATION
100% cancellation fee if services are cancelled less than 7 days before the date of arrival.
I agree to the above Terms of Service of The Happy Hot Dog Hotel.

You, the owner, give your consent that your details, and any data relevant to our work, will be held on record by:

and processed under the terms of the General Data Protection Act 2018. In general terms this means: We have lawful basis, which in this case is to fulfil my contract with you. Our purpose is to look after your dog/s whilst you are away or during day care. This data may be shared with colleagues or relevant agencies i.e. Veterinary staff, Police, RSPCA, rescue centres, council and government departments if requested.

Records will be kept securely and will not be kept for any longer than deemed necessary and comply with licence requirements. You have the right to ask or your records to be viewed, amended or deleted and you have the right to withdraw consent. You also have the right to complain the overseeing regulator, the ICO (www.ico.org.uk) if you feel your data has not been handled correctly.
